Terms and Conditions
This event is organised by Nova International whose registered office is at Newcastle House, Albany Court, Monarch Road, Newcastle-upon-Tyne, NE4 7YB.
By entering the swim you agree to abide by the Conditions of Entry and any race instructions given to you by the organisers and officials of this Great Swim.
Change of address
If your address details change after you have submitted your application please email us with details of your old and new addresses and date of birth. Contact info@greatswim.org or write to Great Swim, P.O Box 1RY, Newcastle Upon Tyne, NE99 1RY. Approximately 6 weeks before the event we will start the mailing process and your swim pack will go to the address we hold at that point.
For Reasons of Safety
No fancy dress will be permitted that will inhibit the participants ability to swim safely. No snorkel, flippers or other artifical swim aids will be permitted.
Data Protection
The Great Swim complies with the Data Protection Act 1998 and you have the right of access to your personal records held on our computer. Your name will be added to our mailing list so that we can keep you informed about Great Swim events, sportswear and other Great Swim events and services. This information may also be made available to other carefully screened organisations to contact you. You are entitled to withdraw your consent to this process by ticking the appropriate box on your application form.
Race Numbers
For safety reasons and primarily for the identification by medical staff, we strictly prohibit the swapping, sale, re-sale or transfer of Swim numbers in any Great Swim event. If you are unable to take part, please refer to our deferment policy within these terms & conditions.
If the event is unable to take place due to unforeseen circumstances, we will endeavour to stage the event at a later date, but if this is not possible we will be entitled to cancel the event. In such circumstances, we will try to let you know in writing of the cancellation or delay. In the event of race cancellation we will refund your entry fee on request but will have no other liability to you for any costs or expenses you may incur as a result of that cancellation. In the event of a delay in the race which is due to unforeseen circumstances beyond our reasonable control, we will have no liability to you for any costs or expenses you may incur, although you may opt to cancel your place and in that case we will refund your entry fee.
Swim mementos
Only finishers will receive a commemorative medal, and t-shirt. Swim hats are NOT interchangeable. Non-participants are NOT eligible for event mementos.
Great Swim reserves the right to change the style, size and type of event mementos offered to finishers including medal and T shirt
Race Ejection
Great Swim reserves the right to refuse an entrants attendance at, and/or participation in, any Great Swim event and/or a Training Swim.
Swimming Aids: Snorkels, flippers & floats are not permitted during the swim event.
Fancy Dress: Fancy dress that inhibits the participant's ability to swim or could cause injury to other participants will not be allowed.
No dogs or other animals are allowed to swim in the event.
Charity Entrants
If you accept a charity place into an event or choose to raise money for a charity during the entry process we will make your contact details available to the charity concerned.
We are continuing in our mission to organise the worlds best, safest and most enjoyable swimming events and hope you will help us in achieving this. Any participant who is found in breach of these terms and conditions will be excluded from future Great Swim events. Please do not put someone else at risk.
Medical Conditions
It is strongly recommended that you train for the swim and prepare for the challenge. If you have not exercised before or for some time, consult your doctor for a check up. All participants are reminded to complete the details on the back of your race number.
Collection and Use of Information
You acknowledge and agree that your personal information (including medical information entered on my race/event/run number or collected by event medical staff during or after the Event) can be stored, used and disclosed by Great Swim in connection with the organisation, staging, promotion and administration of the Event and for the compilation of statistical information.
If you become ill during or after the Event and/or receive medical attention or treatment either from any event medical staff or any doctor or hospital, you authorise such persons to provide your details (including details of medical treatment) to the Medical Director of Great Swim events or others authorised by him.
Photographs
We make best endeavours to capture a photograph of every participant in a Great Swim event but we do not guarantee it.
Use of Image
By entering the race you give permission to the free use of you name, voice or picture in any broadcast, telecast, advertising, promotion or other medium at Great Swim
